Chapter 5: Awarding an Auction

Awarding an auction is the final step of in the auction process. Only the author of the auction can award it to a supplier, once it is in the awarding stage.

Awarding is done to notify the suppliers that they have been selected for a particular auction. You can award the auction to a supplier on a lot level basis and you can award each lot to a different supplier. An email notification will be sent to the awarded supplier.

Generally, the suppliers who are awarded the business are notified about their selection at the time of awarding. In some cases, however, the suppliers may be notified later. For example, when the award scenario must be finalized for internal review or to create a contract and initiate further discussions with the supplier, the supplier can be notified at a later stage.

Additionally, you can also send a notification to the suppliers who have not been awarded.

5.1 Awarding an Auction

  1. To award an auction, click Award Event on the top.

  1. Select the required lot(s) and click Award Supplier.

  2. By default, the best bidder is selected as the awarding supplier. Click icon from the action column to edit the best bidder to change it to another supplier.

  1. Select the required lot row(s) and click Award Supplier.

  2. The warning popup opens.

  1. Select the Notify the respective suppliers by Mail check box to send the notification to the selected suppliers.

  2. Click Yes. The award status of the supplier changes to Awarded and an awarding email notification is sent to the supplier.

The awarded supplier will receive an email notification like this:

5.2 Non-Awarding an Auction

  1. To non-award an auction, click the Non-Award on the left pane.

  1. Click the Actions column icon.

  2. The Non Award slider page is displayed. Additionally, you can view awarded/Non-Award Email status.

  1. Select the required supplier and click Non-Award. The Non- Award Reason page is displayed.

  1. Add a Reason and click Done.

  2. Additionally, the non-awarded Supplier will receive an email notification like this:

5.3 Award Scenarios

You can analyze the supplier responses to easily identify the suppliers who have bided the lowest price against every line item. Along with line-item view, you will also be able to see the summary of default allocation per supplier considering lowest bidding suppliers were allocated those lines.

  1. To view the award scenarios, select Award Event tab.

  1. Select Award Scenarios. The default added scenario is displayed in the section.

5.3.1 Creating New Scenario

You can create your own scenarios applicable for your business use cases. While creating, you can select to

create it from scratch.

To create a new scenario:

  1. On the Award Event page, click Create Award Scenario.

  1. The following Create Award Scenario page is displayed.

  1. Enter the Scenario Name and Scenario Description.

  2. Select the Create From and then click to Create.

  3. The scenario is created and displayed in the section.

  1. Click on the award scenario to view the allocation summary and allocation details.

  • Allocation Summary: You can view the summary details of Auction event.

  • Allocation Details: You can view the allocation details of auction event.

5.4 Flip to Next Auction Round

If you want to revise the Auction specifications or add a new supplier, flip it to the next round.

  1. Under the Award Event tab, select Flip to Next Auction Round section.

  1. Select the suppliers you want to proceed with for negotiations and click Next.

  1. Select the applicable Lot from the auction and click Next.

  1. Select the Auction Type, Auction Method and select the Starting Price (applicable for Regular auction) and then click Create Auction.

  1. You can track this Auction in the Related Content section.

5.5 Flip To Contract

You can flip auction details into a contract document.

To Flip into Contract:

  1. Go to Award event tab and then select Flip To Contract.

  1. This section displays the best bidder for each lot, along with supporting information.

  2. Click edit icon from the Actions column to change the best supplier or bidder.

  3. The Change Best Supplier slider window is displayed.

  1. Select the required supplier and click Save.

  2. Select the desired Lot and then click Flip To Contract.

  1. The Contract Type slider window is displayed.

  1. Select the contract type from the drop down options.

  1. Select the contract subtype and click Flip To Contract.

  2. A confirmation message is displayed click Yes to proceed.
