1. Chapter 3: Publishing an Auction

Once you have created an auction and filled in all the required details, you can publish it to the suppliers by inviting them to participate in the event. You can only publish an auction that is in the draft state. The suppliers can either accept or reject the invitation. Suppliers who agree to participate must respond to the auction invitation and provide a quotation for the items listed in the lots. Suppliers who do not want to participate must provide a reason for rejecting the invitation. An email notification is triggered to event team members when the auction event is published.

If you have not added any suppliers to the event you will not be able to publish the Auction.

  1. To publish an Auction, click Publish on the top right corner of the auction page.

When an Auction is published, its status changes from Draft to Published. Once the event begins, the status changes to Live.

  1. A new pop-up is displayed when the event status changes.

  1. Click OK to proceed. The status of the document changes to Live status.

3.1 Checking Supplier Responses

You can view supplier participation status in the event on the Suppliers section.

You can re-invite suppliers, if you wish to, by selecting them and clicking Re-Invite.

3.2 Revoking a Supplier’s Invitation

You can revoke an invitation sent to a supplier even after the supplier has agreed to participate in the Auction event. Revoking a supplier’s invitation is an action that happens at the event level, that is, the supplier will no longer be able to participate in the event once the invitation is revoked.

To revoke the invitation:

  1. On the Suppliers section, select the required suppliers.

  1. Click More and select Revoke.

  1. Click Yes on the confirmation pop-up.

  2. Enter the reason for revoking the supplier and click Revoke. The reason entered in the comments will be conveyed to the supplier through an email notification of the revocation.

  3. The supplier’s participation status changes to Revoked.

  4. The supplier can no longer participate in the event and will not receive any further notifications. If a supplier is in the process of responding to the auction when the invitation is revoked, the notification of the revocation will display on the supplier’s screen.

  5. The supplier can be revoked or re-invited only when the status of the auction is Published, Not yet Open or Live.

  6. To re-invite the supplier, select the supplier, and click Re-Invite.

3.3 Cancelling Auction

You can cancel an active auction event after it is published using the Cancel Event option. You can provide reasons for event cancellation, that is communicated to all participants by email.

To cancel an active Auction event:

  1. On an applicable auction event, click More >Cancel Event.

  1. The Reason slider window is displayed.

  1. Select the appropriate reason to cancel the auction event.

  2. Enter the Comment for cancelling the event.

  3. Additionally, you can also attach a document using the Browse option and then click Done.

  4. The event is canceled, and the status of the auction document changes to Cancelled.
